Please note that only Super Admins and Match Criteria Admins can create Match Criteria.
Within the Match Criteria dashboard, click on Create. Enter a name and description for your Match Criteria. You can use the description field to include information about high-level job accountabilities. This will be useful in the future to assess if you should update your Match Criteria, should the role or opportunity have evolved.
We recommend using a naming convention that will make it easy for individuals at your organization to easily find the Match Criteria they need. For example, including the region or department in the Match Criteria name can ease tracking.
When your Match Criteria is created, you will then be able to invite Expert Contributors.
Expert Contributors are individuals who are knowledgeable about a particular job or opportunity, such as a direct manager, director or top performer for example. Expert contributors are asked to complete the Match Criteria Survey to help determine role requirements. Research shows that candidate matches that are made on the basis of criteria from Expert Contributors lead to high assessment validity. In the Expert Contributors tab, select Add Expert to invite Expert Contributors to complete the Match Criteria Survey. You can search for Experts by their first name, last name, or email address. Multiple Expert Contributors can be added at the same time.
Please note that individuals must first be added to the Company tab before they can be added as Expert Contributors. If you cannot find an Expert Contributor in the drop-down list, please contact the Plum administrator at your organization to have that user added to the Company.
Plum recommends a minimum of 3 Experts per Match Criteria. A maximum of 25 Expert Contributors can be added to a single Match Criteria. Upon clicking on the Invite button, Expert Contributors will receive an email notification with a request to complete the Match Criteria Survey.
Once your Expert Contributors start completing the Match Criteria Survey, you will see the collection of their responses in the Summary tab.
To remind Expert Contributors of their outstanding Match Criteria Survey contribution, simply click on the Remind button next to their name in the Expert Contributors tab. They will automatically be sent an email reminder.
Once a reminder is sent, the button is deactivated for 2 minutes or until you log back in again.
Once Expert Contributors have completed the Match Criteria Survey, their individual input will be displayed in the Expert Contributors tab. Their input can be muted by toggling it on/off as required using the checkbox next to their name and confirming the change by clicking the Apply Changes button.
Any inputs that have been toggled off will no longer contribute towards the average rank of the overall Match Criteria from the Summary tab.
- If all Expert Contributors with a completed Match Criteria Survey are toggled off, their input is removed from the card view because there is no average rank to display.
- If select Expert Contributors with a completed Match Criteria Survey are toggled off and there are still Expert Contributors with a completed Match Criteria Survey toggled on, then those who are toggled off will have their responses greyed out and moved to the bottom, whereas the average rank will be displayed for those that are toggled on.
Reversely, you can recheck the box next to the individual's name to toggle back on their answers.
As you can see, this feature does not permanently remove the Expert Contributor's Match Criteria survey answers, rather it provides you the flexibility to achieve alignment among your hiring team.
If you wish to completely remove an Expert Contributor and their contribution from a Match Criteria, simply click on the X next to their name.
As an Expert Contributor you can edit your own Match Criteria Survey responses for each Survey that you complete, if the Match Criteria is unlocked. You can do so by navigating to the Expert Contributors tab of the Match Criteria. Next to your email address, click on Details.
Click on Edit, next to your contribution. You will then be able to edit your responses to each individual question of the Match Criteria Survey.
Please note that if a Match Criteria gets modified due to edited results or to removing/adding an Expert Contributor, the changes will not automatically cascade into the Job Requests or Talent Maps it is used for. You will need to accept the change from within each individual Job Req or Map that the Match Criteria is applied to.
How can I edit a Match Criteria?
Match Criteria cannot be deleted. You can however edit their title or description by clicking on Edit in the Info tab. The Match Criteria must be unlocked in order to be editable.
You may want to lock a Match Criteria to prevent your users from making unwanted changes to Match Criteria. Match Criteria can only be locked and unlocked by a Match Criteria Admin. Expert contributors that are in-progress or haven't started will not be able to start or continue the Match Criteria survey.
If a Match Criteria is locked:
- Expert Contributors cannot edit their Match Criteria Survey responses
- Expert Contributors cannot start the Match Criteria Survey if they haven't already started
- Individual contributions cannot be toggled on or off
- Expert Contributors cannot be removed from the Match Criteria
- Match Criteria details cannot be changed.
To lock or unlock a Match Criteria, simply click on the symbol to this effect under the Match Criteria title.
